Scheduling interviews with applicants

Propose interview times to shortlisted candidates, offer alternates, confirm reschedules, and track everything from the Interviews page in the client portal.

The Interviews page in the client portal is where you propose times to candidates, track their replies, and join confirmed calls. Interviews always start from a shortlisted application — Anastasis sends your proposal to the candidate and confirms on the page once they accept.

Before you start

Shortlist at least one candidate from your Applications queue. Candidates only appear in the propose-times form after you shortlist them — see reviewing applicants.

Proposing times

Open Interviews in the client portal and click Propose times.
Pick the shortlisted candidate you want to interview.
Choose a date and time, and set the duration (5–240 minutes; 30 by default).
Optionally click Offer another time to add up to two alternates — the candidate picks whichever works for them.
Optionally paste a video-call meeting link (it must start with http or https), list who’ll attend from your team, and add notes for the candidate — format, what to prepare, who they’ll meet.
Click Send proposal. The time goes to the candidate, and the interview appears in your list as Proposed until they reply.

Interview statuses

  • Proposed — sent to the candidate; awaiting their reply.
  • New time proposed — the candidate suggested alternate times. Confirm the one that works with the per-time confirm buttons on the row; they’re notified once you do.
  • Confirmed — the candidate accepted. If a meeting link is set, a Join button appears, and you can download an Add to calendar file for your own calendar.
  • Completed — the interview happened; the next step is making an offer from the candidate’s packet.
  • Declined / Cancelled — the interview won’t happen. If the candidate declined, their reason is shown on the row.

Use the Upcoming, Past, and All tabs to filter the list. Reschedule requests always stay under Upcoming so they don’t get lost.

Changing or cancelling

You can cancel any proposed or confirmed interview from its row — the candidate is notified automatically. Each row also links to the candidate’s Packet, so you can revisit the application before or after the call.
