How your hours are recorded and paid

Hours are captured automatically by Anastasis Desktop — there is nothing to submit. What to check each week, and how to fix time the tracker missed.

Where the hours come from

While the tracker is running, it records:

  • Time — while you are clocked in, with break detection.
  • Screenshots — periodic captures of your active screen, as evidence.
  • Activity summaries — application and site names, and a rough activity level. Not keystrokes, not page contents.

That is the whole record. Nothing is typed up by hand at the end of the week.

What to check each week

Open Hours & pay in the contractor portal.
Check Tracked this week against what you actually worked. This is the number your client will see.
Look for days that seem short. That usually means the tracker was not running.
If something is missing, request an adjustment or add manual time — see below. Do it before the Sunday cutoff.

The weekly rhythm

All times are Pacific Time, for everyone.

  • Monday to Sunday — you work; the tracker records.
  • Sunday, 9:00 PM — your hours close for the week and go to your client automatically. You do not need to do anything.
  • Monday, 11:59 PM — your client’s deadline to review. Anything they have not actively flagged is approved at that point, so you are paid on time.
  • Tuesday, 1:00 AM — the client is charged for approved hours, and your payout follows on the weekly cycle.

If the tracker missed time

Two different tools, for two different situations:

Request an adjustment — when the tracker was running but got the hours wrong, or stopped partway. This edits a tracked total, so an admin reviews it before the charge. Give the day, the current hours, the hours you are asking for, and a specific reason.

Add manual time — when there is no tracked session at all, such as a client call taken away from your desk. This carries no screenshots or activity evidence, so use it sparingly and describe the work clearly.

Be specific either way. “Client called from the job site, took notes on my phone, 2:00–3:00 PM” is far more likely to be approved than “forgot to clock in.”

After the week closes

  • Your client reviews the week in their Approvals queue and can approve or dispute it.
  • If they dispute a week, you will be notified with their reason and can respond — see what to do when a timesheet is disputed.
  • Once approved, the hours are queued for the weekly billing cycle and your payout follows.
