Understanding weekly reports

What the Reports page shows — spend and hours trends, the weekly breakdown with charge statuses, the contractor roster, and CSV exports.

The Reports page in the client portal turns your live charge and timesheet records into an operating summary: what you’ve spent, what’s queued, how hours are trending, and how each contractor’s engagement adds up. Nothing on it is estimated — every number comes from the same records that drive billing and weekly approval.

The headline metrics

Four tiles at the top summarize your account:

  • Charged to date — everything captured across all weeks.
  • Queued to charge — amounts you’ve approved that haven’t been captured yet.
  • Weeks charged — how many billing cycles have been captured.
  • Your team — contractors working under an active job.

Together they answer the two questions most clients open the page with: what has this cost so far, and what’s about to be charged next.

The Trends over time card plots two weekly series side by side: weekly spend (charged) and weekly approved hours. Use the range selector to view the last 12 weeks, 26 weeks, or everything. Hovering a point shows the exact value for that week.

Because spend buckets on charged weeks and hours bucket on approved timesheets, the two charts move together in a healthy account. A gap between them — hours rising while spend stays flat, or the reverse — is usually just timing (a week approved but not yet captured), and the weekly breakdown below will show you exactly which week is in which state.

The weekly breakdown

The Weekly breakdown lists every week, most recent first, with its status and amount. Statuses you may see include:

  • Pending — not yet approved.
  • Approved — queued for capture — you approved the week; the charge hasn’t run yet.
  • Awaiting card authentication — your card issuer needs an extra confirmation step.
  • Charged — the charge was captured.
  • Charge failed or Authorization expired — the charge needs attention; see what to do when a payment fails.

Weeks under an open dispute are flagged Disputed — capture paused, and each row carries a proportional bar so bigger weeks stand out visually. The view starts with your most recent weeks; switch the range menu to All weeks to see the full history.

The contractor roster

The By operator table lists every contractor you’ve engaged, with their role, engagement status (Active, Paused, or Ended), hourly rate, and total charged. Filter it to Current, Closed, or All time, and export the filtered view to CSV. It’s the quickest way to answer “what has this engagement cost in total” without adding up weeks by hand.

Where the numbers come from

Reports reads the same records as the rest of the portal: totals count captured charges, queued amounts count approved-but-uncaptured weeks, and disputed weeks are excluded from spend totals until they resolve. If the page can’t load, you’ll see a clear error with a Try again button — the numbers are never silently stale.
