Interviews and proposing new times

How interview scheduling works — clients propose times, you accept, decline, or suggest up to three alternatives, and confirmed interviews carry the meeting link.

When a client wants to talk after reviewing your application, they propose interview times from their review workspace. Everything lands on the Interviews page of the contractor portal, where you accept, decline, or propose a different time.

How scheduling works

Interview scheduling is client-initiated: clients choose times from their application review workspace, and your Interviews page is where you respond. The page is split into three counts — Needs action (proposed times awaiting your response), Upcoming (interviews you’ve accepted), and History (past, declined, or cancelled).

Each invite shows the date and time in your local time zone (with the zone name), the duration in minutes, the meeting link if the client attached one, and any note the client added.

Responding to a proposed time

Invites in Needs your response carry three buttons:

  • Accept — confirms the interview. If the client offered more than one time, pick the slot that works before accepting; the server locks in your choice.
  • Propose new time — opens a dialog to suggest alternatives (see below).
  • Decline — turns the invite down. You can optionally tell the client why the time doesn’t work.

Proposing a new time

If none of the offered times work, suggest your own:

Click Propose new time on the invite.
Pick up to three times that work for you. They must be in the future.
Optionally add a note to the client, like “Mornings work best for me this week.”
Send the proposal. The invite’s status changes to New time proposed while you wait for the client to confirm one of your times.

After you accept

Accepted interviews move to Upcoming with a Confirmed status. From there you can:

  • Join video call — one click when the time arrives (or Copy link to share it with yourself on another device).
  • Add to calendar — downloads a standard calendar file (.ics) that works with any calendar app, no account connection needed.
  • Switch to the calendar view — the Upcoming & history card has a List/Calendar toggle so you can see interviews on a month grid.

Invites happening soon get a quick-scan chip (Today, Tomorrow, or In N days) next to the full date.

How to join the call

Calls run on Anastasis’s own private video server — no account, nothing to install on a computer.

  1. A few minutes before the start time, click Join video call on the invite (the link is also in your confirmation email and calendar entry).
  2. Use Chrome or Edge on a computer, or the free Jitsi Meet app on your phone.
  3. Allow microphone and camera when your browser asks.
  4. Type your name and click Join meeting. If you’re first, the room opens with you — the other side joins the same way.

Interview statuses

Status What it means
Proposed The client proposed a time — respond from Needs your response.
New time proposed You suggested alternatives; waiting for the client to confirm one.
Confirmed You accepted — it’s on your Upcoming list.
Completed The interview happened.
Declined You turned the proposed time down.
Cancelled The interview was called off.

Preparing for the interview

Before you accept, review the time, role scope, and any prep notes the client included. The portal’s own prep checklist is a good baseline: know the role scope you’d own, confirm your exact schedule overlap with the client’s hours, and bring concrete examples — tools you’ve used, reports you’ve produced, escalation notes you’ve written.
